Privacy Policy

Last updated: 26 October 2026

Genesis Business Solutions CC (registration CC/2015/02534, "Genesis," "we," "us") respects the privacy of everyone who visits this website, registers on our stakeholder portal, or shares information with us in the course of exploring an investment or partnership opportunity. This policy explains what we collect, why, and the choices and rights you have over it.

This is a plain-language summary of our practices, not a substitute for legal advice. If you have questions about how a specific jurisdiction's data protection law applies to your situation, please consult your own counsel.

1. What we collect

Depending on how you interact with us, we may collect:

  • Contact and registration details — name, email, phone, organisation, role, and the general nature of your enquiry, when you register on the stakeholder portal, request an NDA, or contact us directly.
  • Engagement and mandate information — the opportunity you're interested in, preferred transaction structure, general funding source, and investment mandate, used to assess fit and progress your engagement.
  • Know-Your-Counterparty (KYC) information — full legal name, ID or company registration number, country, your relationship to the opportunity (including whether you are acting on behalf of someone else), a general category of source of funds, and a Politically Exposed Person (PEP) declaration. We ask for the minimum needed to confirm who we are actually dealing with before sharing confidential transaction information — we do not collect detailed banking records or supporting documents through this form.
  • Technical and activity data — login activity and actions taken on the portal (e.g. data room requests), kept for security and audit purposes.

2. Why we collect it

We use this information to:

  • Assess and qualify prospective stakeholders and opportunities;
  • Confirm the identity and role of the party we are actually engaging with, particularly where an intermediary is involved, before releasing confidential transaction materials;
  • Administer NDAs and manage access to our data room;
  • Communicate with you about your enquiry or engagement;
  • Meet our own legal, regulatory, and counter-party due-diligence obligations.

Our legal basis for processing is generally your consent (given when you submit a form on the portal) and our legitimate interest in verifying counterparties before entering into confidential or transactional relationships.

3. Who sees it

Your information is accessible to authorised Genesis staff involved in evaluating and progressing your engagement. We do not sell personal information. We may share it with:

  • Professional advisers (legal, financial) engaged on a specific transaction, where relevant and typically under confidentiality obligations;
  • Regulators or authorities, where required by law;
  • Service providers who support our systems (e.g. hosting), acting only on our instructions.

4. How long we keep it

We retain stakeholder and KYC information for as long as your engagement with us is active, and for a reasonable period afterward to meet record-keeping, legal, and audit obligations. You may request earlier deletion as described in Section 6, subject to any legal retention requirements.

5. Security

We apply reasonable technical and organisational measures to protect the information you provide, including access controls, encrypted transmission, and activity logging. No system is completely secure, and we encourage you not to share information more sensitive than what we ask for.

6. Your rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate information;
  • Request deletion of your information, subject to legal retention requirements;
  • Object to or request restriction of certain processing;
  • Withdraw consent at any time, without affecting processing already carried out;
  • Request a copy of your data in a portable format.

To exercise any of these rights, contact us using the details below.

7. International use

Genesis is based in Windhoek, Namibia, and works with stakeholders across multiple jurisdictions, including the European Union and elsewhere. Where information is transferred internationally (for example, to advisers or service providers in other countries), we take reasonable steps to ensure it continues to be protected consistently with this policy.

8. Cookies

The stakeholder portal uses a session cookie solely to keep you logged in securely; it does not track you across other websites. If we introduce analytics or marketing cookies in future, this policy will be updated accordingly.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
